Job Summary

Responsible in the preparation of personnel timesheets and the timely submittal thereof in accordance with the applicable process in timekeeping functions. Maintaining files on overtime notices, leave applications, sick reports, mission pass and related timekeeping documents.

Duties and Responsibilities

·         Prepares timesheets for all personnel (whether hourly or monthly rated).

·         Checks daily attendance based on:

§  Foremen’s Daily Time Record (FDTR)-for hourly rated personnel

§  Employee Daily Time Record (EDAR)-for monthly rated personnel

·         Checks and reviews time cards, overtime notices, leave applications, sick reports, etc. against submitted FDTR’S and EDAR’s.

·         Conducts spot check of personnel presence as indicated in the FDTR’s and EDAR’S.

·         Posts into the timesheet allowed overtime hours based on approved overtime notices.

·         Posts applicable information into the timesheet, as per leave applications, absence without official leaves or official business per mission pass.

·         Secures appropriate signatures as required in the timesheet.

·         Acts as liaison between payroll and all departments concerned with reference to employee’s inquiry as to their man-hours posted to the timesheet.

·         Submits list of employees who are absent or tardy to personnel.

Resource Mobilization

Summary

The term ‘resource mobilization.’ Although technical in sense, it merely means mobilizing resources. Now resources can include many different things, not just money, for your organization. Apart from money, you can also raise support from volunteers; you can also receive material donations for your NGO; or you can get in-kind contribution from your own community. So, in order to put all these sources of support into one kitty (including cash donations), we refer to them collectively as ‘resource mobilization.’

 

Duties and Responsibilities

·         Submitting proposals to a typical donor agency is the most conventional way of getting support.

·         Organizing fundraising events where you invite guests and request donations for your organization.

·         Donation boxes where you request small amounts of money from public.

·         Collecting in-kind contribution such as used clothes, furniture, books, vehicles or even buildings.

·         Volunteer support where volunteers provide their time and resources to support the work of your organization.

·         Income from business-oriented projects of your organization like selling of publications, offering consultancies, microfinance, micro insurance or micro-enterprise-based activities.

 

 

Documentation Volunteer

Summary

Document specialist job responsibilities may vary with the industry, and with the methods used to store and retrieve documents. Document specialists are responsible for storing data and records for document retrieval and archives. Business documents are used to standardize production of goods and services, and can become legal documents to ensure company compliance to internal and external policies and procedures.

 

Duties and Responsibilities

·         Responsible for maintenance of company documents.

·         Responsible for storage, cataloging and retrieval of documents.

·         Maintain the integrity of working documents and update documentation when revised.

·         Maintain systems for document storage and retrieval, and help train employees on efficient system usage.

·         Responsible for document security, for assigning access, and for removing and destroying obsolete documents.
